Privacy Policy

PolySubs is a subtitle translation service. This policy explains what data we collect, how we use it, and how it is handled when you use the product.

The short version: we do not store, sell, or retain your subtitle content or translations beyond what is required to operate the service — and translation requests are processed by third-party AI providers that have their own data policies.

Account and authentication data: your email address and any profile details you provide when signing up. Authentication is handled by Supabase Auth.

Billing and plan data: your subscription plan, credit balance, and payment records. Payments are processed by Polar.sh, which acts as the merchant of record. We do not store your full card details.

Workspace and job metadata: filenames, target languages, job status, timestamps, and workspace membership. This exists so you can see and manage your translation history.

YouTube connection data: if you connect a YouTube account, we store the OAuth tokens required to fetch your videos and publish translated captions, encrypted at rest.

To translate subtitles, the text you submit is sent to third-party model providers — currently the OpenAI API (GPT models) and OpenRouter (which routes to a range of models). These providers may retain or otherwise process the submitted text according to their own terms and privacy policies. We do not control their retention practices.

This means: any subtitle content you submit for translation is processed by those providers, and you should not submit content that you are not authorized to share with them. We are explicit about this rather than implying the content only ever touches our systems.

PolySubs itself does not sell, rent, or share your subtitle content. We keep only the translated output needed to deliver your download, and job metadata for your workspace history.

To provide the service: running translation jobs, managing credits, and syncing your workspace.

To manage billing: creating checkouts, applying subscriptions, and granting credits.

To operate and improve: diagnosing errors, preventing abuse, and understanding aggregate usage.

Job history is retained according to your plan (for example, trial plans keep a shorter history than paid plans). Your account and workspace data is retained for as long as your account is active.

Translated files and subtitle content are kept only as long as needed to deliver them to you. We do not build a content library from your subtitles.

You may request access to, correction of, or deletion of your personal data at any time by contacting us. Deleting your account removes your workspace data and job history.

Depending on your jurisdiction (for example, the GDPR or CCPA), you may have additional rights. We will honor valid requests to the extent required by applicable law.

Payments and subscriptions are processed by Polar.sh. When you check out, you interact with Polar's hosted checkout, and Polar collects and stores the payment details. We receive only the subscription and plan information needed to grant your access and credits.
